Talent Acquisition and workforce consulting require organizations to entrust service partners with information that can be sensitive, confidential, and important to both individuals and the business. At Vanguard Synergies, data privacy and security are integral to how we approach our work. We recognize our responsibility to handle client, candidate, employee, assessment, and workforce information with appropriate care throughout the lifecycle of an engagement.
Our approach is centered on purposeful data use, appropriate access, confidentiality, responsible technology practices, and sound information stewardship. We seek to collect and use only the information reasonably necessary to support the services being provided and to maintain safeguards appropriate to the nature of the information and our role in handling it.
Talent and workforce information can extend well beyond names and contact information. Depending on the engagement, organizations may provide information involving recruiting activity, workforce demographics, organizational structures, job requirements, compensation, skills and capabilities, succession planning, employee development, assessment results, performance-related information, or workforce analytics.
Vanguard Synergies approaches this information as a business asset that requires thoughtful stewardship. Information provided for an engagement is intended to be used for legitimate and authorized business purposes consistent with the services being performed.
Where Vanguard Synergies processes information on behalf of a client, responsibilities for the collection, use, access, retention, and protection of that information may also be established through the applicable consulting agreement, statement of work, confidentiality agreement, data-processing terms, or other contractual requirements.
Our approach to workforce information is guided by several core principles.
Purposeful Collection. We seek to collect information that is relevant to the business purpose, service, or engagement rather than gathering information without a defined need.
Appropriate Use. Information should be used for the purpose for which it was provided and consistent with applicable client authorization, contractual requirements, and business needs.
Limited Access. Access to confidential or personal information should be limited to individuals, systems, and authorized service providers with a legitimate need for that information.
Confidentiality. Client, candidate, employee, leadership, assessment, and other workforce information should be handled in a manner appropriate to its sensitivity and the context in which it was provided.
Data Minimization. Where practical, we seek to limit the collection, processing, and retention of personal information to what is reasonably necessary to perform the applicable service or fulfill legitimate business and contractual requirements.
Responsible Retention. Information should not be retained indefinitely simply because it was collected. Retention considerations may include the nature of the engagement, contractual requirements, legitimate business needs, legal obligations, and the type of information involved.
Talent selection and behavioral assessments can generate particularly detailed information about candidates, employees, and leaders. Depending on the methodology being used, assessment information may include behavioral characteristics, workplace preferences, motivations, leadership tendencies, development opportunities, engagement factors, or other job-related insights.
Vanguard Synergies recognizes the importance of maintaining appropriate confidentiality and access controls around assessment information.
Assessment results are intended to support authorized talent decisions and should be made available only to appropriate individuals based on the purpose of the assessment and the organization's established processes. Assessment information should also be considered alongside other relevant job-related information and professional judgment rather than automatically serving as the sole basis for significant employment decisions.
When third-party assessment platforms or methodologies are involved, information may also be subject to the privacy, security, retention, and data-processing practices of those providers.
Talent Acquisition activities may require the processing of candidate information such as resumes, employment histories, qualifications, contact information, interview information, application materials, and other information associated with the recruiting process.
We recognize that candidates provide this information with an expectation that it will be handled responsibly and used for legitimate Talent Acquisition purposes.
When Vanguard Synergies supports recruiting or RPO-related activities, candidate information should be accessed and used in accordance with the scope of the engagement, authorized recruiting activities, applicable client requirements, and the systems through which the information is maintained.
Workforce planning, talent optimization, organizational assessments, succession planning, and related consulting engagements may require access to information about an organization's workforce.
Where possible, the level of information used should correspond to the purpose of the analysis. Some workforce questions can be addressed through aggregated or de-identified information, while others may require authorized individual-level information.
Vanguard Synergies seeks to distinguish between what information is available and what information is actually necessary to perform the work.
Vanguard Synergies seeks to maintain reasonable administrative, technical, and organizational safeguards appropriate to our business operations and the nature of information being handled.
Depending upon the engagement, systems, and technologies involved, security practices may address areas such as:
No organization, information system, or electronic transmission method can guarantee absolute security. Our objective is to apply reasonable safeguards and responsible practices appropriate to the information and services involved.
Modern Talent Acquisition and workforce consulting frequently depend on specialized technologies. Vanguard Synergies may work with third-party providers supporting functions such as applicant tracking, assessment administration, analytics, cloud technology, communications, webinars, payment processing, scheduling, or other business activities.
Where third-party technology is used, information may be processed or maintained within systems operated by those providers and may therefore be subject to their privacy, security, and contractual practices.
Vanguard Synergies seeks to use third-party services appropriate to the business purpose for which they are engaged and to consider privacy and information-handling requirements when technology is incorporated into client solutions.
Workforce analytics can provide organizations with meaningful insight into talent availability, recruiting effectiveness, workforce capabilities, leadership, engagement, retention, and other organizational considerations.
Our approach is to use workforce information to generate meaningful business intelligence without losing sight of the individuals represented by the data.
Where appropriate, information may be aggregated, segmented, or de-identified to examine organizational trends without requiring unnecessary exposure of individual-level information. Access to detailed information should correspond to legitimate business responsibilities and the purpose for which the analysis was performed.
Technology, automation, and artificial intelligence continue to expand the capabilities available to Talent Acquisition and workforce functions. These technologies can improve efficiency, analytics, decision support, and access to workforce intelligence, but they also introduce important considerations regarding privacy, transparency, accuracy, appropriate use, and human oversight.
Where technology-enabled tools are incorporated into our services, Vanguard Synergies supports an approach in which technology informs professional judgment rather than automatically replacing it.
Significant talent and workforce decisions should include appropriate human consideration of the relevant business, job, workforce, and individual factors involved.
Protecting workforce information is a shared responsibility.
Vanguard Synergies, our clients, technology providers, assessment partners, and other authorized parties may each have responsibilities depending upon the engagement and the information involved. Establishing appropriate roles, access, processes, and expectations at the beginning of an engagement helps create a stronger foundation for responsible data management.
Clients remain responsible for their own systems, employment practices, internal access decisions, legal obligations, and authorized use of information provided through Vanguard Synergies services unless otherwise established through written agreement.
Data privacy and security should be considered throughout the engagement lifecycle—not added after information has already been collected.
Our approach considers information requirements from:
Collection → Access → Use → Analysis → Sharing → Retention → Disposition
This lifecycle perspective helps organizations consider not only how information enters the engagement, but also who needs it, why it is being used, where it may be processed, how long it is required, and what should happen when that need ends.
Vanguard Synergies understands that effective workforce consulting depends on more than expertise and insight. It also depends on trust.
We are committed to approaching client, candidate, employee, leadership, assessment, and workforce information with care, discretion, and responsible stewardship while helping organizations use workforce intelligence to make more informed talent and business decisions.
